Salary bands from Peorient’s average salary in India by job role. Totals at the band midpoint, ₹94.8 per $, excluding GST.

How is the cost of an Indian employee calculated?

The total is gross salary plus four statutory or customary layers, plus the cost of whoever employs the person. Salary is usually the largest part; the EOR fee is the part that varies most between providers.

  • Employer PF: about 13% of PF wages up to ₹25,000, so at most ₹3,250 a month.
  • ESIC and statutory bonus: only for wages up to ₹21,000 a month.
  • Gratuity: about 4.81% of statutory wages, provisioned monthly.
  • Insurance and benefits: ₹1,000 a month by default.
  • EOR fee: per employee per month, in US dollars.

For the full method with worked examples, read the Employer of Record cost in India guide or the complete guide to employer costs in India.

When does your own Indian entity become cheaper than an EOR?

An entity wins on cost once the EOR fees you avoid exceed its fixed running costs. On Peorient’s planning model that happens at about 11 employees against a $199 fee, and about 4 against a $599 fee. The calculator shows the break-even for your own fee.

Fixed costs include accounting, audit, statutory filings, payroll, legal support and registered premises. See EOR vs subsidiary in India before you decide.

Frequently asked questions

How do you calculate the cost of hiring an employee in India?

Start with gross salary, then add the employer contributions: PF at about 13% of PF wages up to the ₹25,000 ceiling (at most ₹3,250 a month), ESIC and statutory bonus for wages up to ₹21,000, a gratuity provision of about 4.81% of statutory wages, insurance, and the EOR fee if you use one. The calculator does this for you in rupees and US dollars.

What does an India-specialist EOR cost compared with a global platform?

Published fees in Peorient’s research run about $99-$249 per employee a month for India specialists and $459-$699 for global platforms. On one hire that gap is roughly $4,800 a year at the midpoints used here ($199 versus $599).

Is the result a quote?

No. It is a planning estimate based on published salary bands, statutory rates and published EOR fees. Send the scenario to us and we come back with quoted fees from the providers that fit, usually within 2-3 business days.

Does the calculator include GST?

Not by default, because GST treatment depends on the contract and the provider’s position. Tick “Add 18% GST on the EOR service fee” under Adjust assumptions to budget for it, and ask each provider for its written GST position.

When is an Indian entity cheaper than an EOR?

On Peorient’s planning model, a fully run entity starts to beat a $199 India-specialist fee at about 11 employees and a $599 global platform fee at about 4. Below that, the entity’s fixed running costs outweigh the fees you save.

How did we calculate these costs?

Every figure comes from the same model as Peorient’s Employer of Record cost guide, so you can reproduce it line by line.

  • Salary: annual gross pay from Peorient’s average salary in India by job role bands, with city premiums from the same research. If your offer quotes CTC including employer PF and gratuity, your total will be lower.
  • Statutory wages: modelled at 60% of gross pay, above the 50% floor set by the labour codes in force since 21 November 2025 (KPMG summary).
  • Employer PF: 12% plus 0.5% EDLI and 0.5% administration on PF wages, capped at the ₹25,000 wage ceiling notified on 17 September 2026 (Gazette S.O. 5109(E)), so at most ₹3,250 a month. See EPF and ESIC employer contributions.
  • ESIC and bonus: 3.25% ESIC and 8.33% statutory bonus apply only where wages are up to ₹21,000 a month.
  • Gratuity: provisioned at 15/26 of monthly statutory wages per year (about 4.81%). See gratuity in India.
  • Insurance: ₹1,000 a month for group health cover and benefits, editable in the calculator.
  • EOR fees: $199 a month for an India specialist and $599 for a global platform, the midpoints of published fees in Peorient’s Best EOR in India 2026 research (checked 30 September 2026). GST is excluded by default; ask each provider for its written GST position.
  • Exchange rate: ₹94.8 per US dollar, in line with the 22 October 2026 close of ₹94.82 (Deccan Herald).
  • Own entity: Peorient planning model of ₹18 lakh a year in fixed running costs, ₹6 lakh set-up spread over two years and ₹24,000 a year of extra administration per employee. These are modelling inputs, not incorporation quotes.
